Create a custom user view in Office 365 for enterprises.

Title slide: “Create a custom user view in Office 365 for enterprises”

3

Open Office 365 for enterprises, showing the Home page signed in to an approved account.

4

If you’re a global or user management administrator, you can create custom views to filter your list of users. Once you create a view, it’s available for any administrator in your organization to use.

5

From your Home page in Office 365, click Admin.

6

Zoom in and click Admin.

7

In the left pane, under Management, click Users.

8

Zoom in and click Users.

9

The Users page shows all of the users that you’ve added to Office 365. You know this, because the View box says All users.

10

Zoom in to show the View box.

11

To see your user views, click the arrow next to the View box.

12

Zoom out to show the full drop-down in the next step.

13

Click the arrow next to the View box.

14

This shows a list of standard views, and any custom views created by your Office 365 administrators.

15

For example, Unlicensed users

Callout to highlight Unlicensed users in the list.

16

…is a standard view. It shows users who don’t have Office 365 licenses assigned to them yet.

17

You can’t edit or delete standard user views, but you CAN edit and delete custom user views.

18

To create a custom user view, click New view at the bottom of the list.

19

Click New view.

20

Zoom out to show the New view page.

21

On the New view page, you’ll see that there are many different fields that you can fill out to create your view. The only required field is Name your view.

Call out to highlight the Name your view field.

22

I’m going to create a view that will show users who are in the Sales department, and I’m going to name the view Sales staff.

23

Zoom in to show the top of the New view page, framing from the Name your view box to the Usage location box. Type Sales staff in the Name your view box.

24

Since I want this view to show only users in the Sales department, I’m going to enter Sales in the Department field.

25

Type Sales in the Department box.

26

I could customize my view even more by filling in other fields. For example, if I wanted to show only Sales staff located in Chicago, I could enter Chicago in the City field. But for this view, I’m not going to filter anything else.

Call out to highlight the City box.

27

I’m done selecting information, so I’m going to click Save.

28

Zoom out to full page and click Save.

29

Now I’m back on the Users page.

30

I’m going to check to make sure my custom view appears in the View list.

31

Zoom in to see the full View drop-down list.

32

I click the arrow next to the View box…

33

Click the arrow next to the View box.

34

…and I see that Sales staff appears in the list.

35

Move the pointer over Sales staff to highlight it.

36

I’m going to check to make sure my user view works.

37

Click Sales staff.

38

It works! I do get a list of Office 365 users who are in the Sales department.

39

Notice that the title of the custom view appears in the View box.

40

Zoom in and add a call out to show title in View box.

41

Now you know how to create a custom user view in Office 365 for enterprises.
